A VA works with you by assisting with administration tasks to achieve your goals over time within your business. Just like employing staff, VA’s will get to know you, how you work best, and the ways they can be supportive of your business administration.


If you are considering hiring a Virtual Assistant, create a list of potential tasks they could complete. Some will be one-off projects, and others will be repetitive tasks that are performed weekly. What jobs are you completing already, that you would gladly hand over to someone else?


Some really important factors to take into consideration are:

What is your preferred method for file storage?

How would you like to stay in contact with your VA?

What is the best method of communication in case of emergency?

Will you be requiring one-off virtual administration assistance, or do you think it may be ongoing?

Will you require a set amount of hours per day, week or month?

What will be your preferred days? Or are you flexible?

What are your expectations, what do you want to achieve?

How much information are you willing to share with your VA?


Small Steps!


Once you have thought about these questions it is a great idea to work out a strategy on starting with your VA.

Start with the smaller jobs such as email and calendar management. Think about how you would like this done. Do you want folders set up, flags for urgent, or unread emails left for you to read? Will every single appointment arranged within your emails need to be entered on your calendar?

Then when you feel comfortable enough with how these tasks are completed go to the next stage and start on another administration task you think your VA can assist with.

This can be anything from spreadsheets, letter or email preparing, reception, customer service, data entry, online research, invoicing, completing forms and applications, travel bookings, filing, preparing quotes and many other administration tasks you may need assistance with to keep your business flowing to success.
