Getting Started with a VA

Just starting out as a Sole Trader or small business owner, but not quite sure where to start with administration and bookkeeping?

There is so much to think about, decisions to make and tasks to complete.
Virtual Assistants (VA’s) can assist you with many of these tasks.
Really the best way to start is to seek professional advice, check with an accountant to find out exactly what the ATO requires from you, what you need to set up and what they think would be the best income/expense system to start.
Prepare a list!
Then once you know what you need a VA can assist. For example, with applying for an ABN, registering your business, search for insurances to suit your business requirements, complete forms and documents, assist with finding the best deals for websites, logo’s, marketing and stationery needs.

There are many good online bookkeeping systems that make getting organised really easy by linking to your accountant for BAS and end of financial year commitments or uploading invoices and receipts from your phone. A VA can assist you with finding the right fit for your business.
However, when starting out it sometimes can be as simple as setting up an income and expense spreadsheet that can keep your bookkeeping in order until you find the right programs that suit your business as it grows.
Using a spreadsheet to start can be as simple as forwarding your income and expense invoices to your VA by email and they regularly update the spreadsheet for you and your accountant to review.

Your business may require travel bookings for client meetings or presentations. A VA can spend the time finding suitable accommodation, transport and flights or even seek out a choice of restaurants for you to meet and impress your clients.
Your probably thinking all these tasks are easy and you can do it yourself! This is true.
However, the time you save by NOT having to find cheaper flights, or accommodation in the best location for where you need to be or where to hire a car that isn’t too far from the airport is all time that can be spent on your existing or new clients not to mention some family time.
A VA can basically do any administration tasks you require but the best way to utilise a VA is with good communication.
· Be clear and precise with your expectations and requirements of what you want done and how you want it.
· Make sure you provide your VA with everything they need to complete the tasks you need done. A VA cannot complete forms or applications without your business information.
· Agree on the best form of communication between you both.
